Procedure
- The timing for everything is much more constrained than suggested by the UQ website for PhD Oral assessments. Within the 90 mins we have, though, times for each part are flexible (but presentation max = 30 mins).
- Penny has circulated a copy of the thesis and the Examiners' comments to all members of the Examining Committee (see definition below).
- Stas has sent round a MS Powerpoint presentation and a Table (print them out or follow on computer).
- Please have a computer with internet connection nearby (1) to follow Stas' presentation on the computer if wished and (2) in case there is a need for email communications (all email addresses and contact details under "People" below).
- After the Oral exam, the Convenor and Chair of Examiners liaise to complete the PhD Oral Examination Report form and send it to RRTD (Theses Office). The Chair of Examiners (Dr Phil Grove) has responsibility for completing the form.
Hookup will be done by a Telstra Australia operator (Aust 1800 011 080).
00:00-00:05 HOOKUP. The Krupenia oral exam will be Telstra Conference #7065294. Telstra operator will call everyone at the top of the hour and will link the conference together. See Handling Teleconference Problems section below for how to handle any issues or problems that arise. (Public). (5 mins)
00:05-00:10 SUMMARY. Summary of procedure by Convenor Prof Cindy Gallois. (Public). (5 mins)
00:10-00:40 OPEN SEMINAR. Stas gives his presentation. He will summarize thesis at a high level, but will concentrate on responding to the examiners' comments while doing so. Stas will tell you which slide you should be looking at. (Public). (30 mins max)
00:40-01:00 CLOSED SESSION. Marcus leaves the teleconference. Convenor Prof Cindy Gallois chairs the Closed Session, attended by Stas and the Examining Committee only. Examiners quiz Stas about thesis. (Private) (20 mins)
01:00-01:20 CLOSED DELIBERATION. Stas leaves the teleconference. Examining Committee determines the result to be recommended to Stas. (See PhD Oral Examination Report form). (Private) (20 mins)
01:20-01:30 CONCLUDING MEETING. Stas rejoins the teleconference. Marcus as member of advisory team also rejoins. (Method: UQ dials *0 -- star zero -- and asks Telstra operator to reconnect parties). We bring Andrew Neal in from his office also. The Examining Committee, Candidate, Advisory Team, and School Postgrad Coordinator attend. Convenor Prof Cindy Gallois advises Stas of result to be recommended. (Private) (10 mins).
Handing Teleconference Problems
- The Krupenia oral exam will be Telstra Conference #7065294.
- Telstra operator will call everyone at the top of the hour and will link the conference together.
- If you get disconnected or you don't receive a call, do the
following:
- For the US and Israel: call +61 3 8664 1503. Cite conference #7065294. They will reconnect you (and will still charge UQ).
- For Australia: call 1 800 627 261. Cite conference #7065294. They will reconnect you. If 1 800 627 261 is no good, use the main Telstra number 13 20 00. [Note: so far the 1 800 numbers do not work from the UQ extensions I have tried. Need to have a mobile phone on hand to get through.]
- The phone number for the conference room at UQ, which is also the number hosting the teleconference, is +61 7 3365-7194. If you need to call us directly and none of the above works, then try calling +61 7 3365-7194. If that number is engaged because the rest of the teleconference is still active, try calling Penny on her mobile: +61 (0) 407 107 707 (no 0 if dialling from outside Australia). Failing that, try the following number: +61 7 3365-6076.
