Procedure
- It is our intention to comply with the guidelines for oral examinations given on the UQ website for PhD Oral assessments.
- The candidate should review the examiners' comments prior to the oral examination.
- The Examination Committee should download the candidate's presentation in order to follow along.
- Please have a computer with internet connection nearby (1) to follow the candidate's presentation on the computer if wished and (2) in case there is a need for email communications (all email addresses and contact details below).
- After the Oral exam, the Convenor and Chair of Examiners liaise to complete the PhD Oral Examination Report form (updated!) and send it to RRTD (Theses Office). The Chair of Examiners (A/Prof. Tony Howes) has responsibility for completing the form.
Participants will join the conference using this Wimba teleconference link.
Participants will need a microphone (headset preferred). We will not use webcams for this teleconference due to propagation delays between the US and Australia.
Please test out the setup wizard to see that your computer is configured suitably for Wimba. When you login, you should be in a room called "Test - David". The setup wizard takes about five minutes to run, so please get set up for Wimba well in advance of the teleconference.
There is a chat window to the bottom left on the Wimba user interface. To talk, you have to hold down the control button or hold the "TALK" button.
00:00-00:05 HOOKUP. The Hyland-Wood oral exam will be on Wimba using this teleconference link. Please test set up your Web browser, headset and microphone in advance. See Handling Teleconference Problems section below for how to handle any issues or problems that arise. (Public). (5 mins)
00:05-00:10 SUMMARY. Summary of procedure by Convenor A/Prof. Tony Howes. (Public). (5 mins)
00:10-00:40 OPEN SEMINAR. David Hyland-Wood gives his presentation. He will summarize his thesis at a high level, but will concentrate on responding to the examiners' comments while doing so. David will tell you which slide you should be looking at. (Public). (30 mins max)
00:40-01:00 CLOSED SESSION. Advisory Team leaves the teleconference. Convenor A/Prof. Tony Howes chairs the Closed Session, attended by the candidate and the Examining Committee only. Examiners quiz David about his thesis. (Private) (20 mins)
01:00-01:20 CLOSED DELIBERATION. The candidate leaves the teleconference. The Examination Committee determines the result to be recommended. (See PhD Oral Examination Report form). (Private) (20 mins)
01:20-01:30 CONCLUDING MEETING. David Hyland-Wood rejoins the teleconference. The Advisory Team also rejoins. (Method: David will monitor IM on Wimba for a notification to rejoin). The ITEE Postgraduate Coordinator, Dr. Andrew Bradley, is also invited. The Examination Committee, candidate, Advisory Team, and School Postgrad Coordinator attend. Convenor A/Prof. Tony Howes advises David of the result to be recommended. (Private) (10 mins).
Handing Teleconference Problems
- The Hyland-Wood oral exam will use Wimba using this teleconference link.
- US participants who do not have a clear audio signal should call into the conference using the alternative US telephone number: +1 201 549 7654. The Wimba teleconference is simulcast on that number.
- Australian (Queensland) participants who do not have a clear audio signal should call into the conference using the alternative Queensland telephone number: +61 7 3018 2870 or, from Queensland, (07) 3018 2870. The Wimba teleconference is simulcast on that number.

If you get disconnected or cannot connect to Wimba, do the following:
- For the US: call the simulcast teleconference number: +1 201 549 7654.
- For Australia: call the simulcast teleconference number: +61 7 3018 2870 or, from Queensland, (07) 3018 2870.
- The phone number for conference room 78-622 at UQ is +61 7 3365 8316. If you need to call us directly and none of the above works, then try calling the conference room.
